Privacy Policy
Last updated: 17 August 2026
Asquare IT Solutions (“we”, “us” or “our”) is committed to protecting the privacy of the personal information we collect, use, hold and disclose. This Privacy Policy describes how we handle personal information and explains your rights under the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).
By providing personal information to us — for example, by calling our team, booking a service, submitting a contact form, emailing us, or creating an account — you consent to its collection, use and disclosure in accordance with this Policy.
1. About this Policy
This Policy applies to personal information collected by Asquare IT Solutions in connection with our websites, phone and email service lines, on-site appointments, remote support sessions, and any other interactions you have with us.
2. Information we collect
The personal information we typically collect includes:
-
Your name, business name (where applicable) and contact details, including phone number, email address and service address
-
Information relevant to the service you have requested, including device make and model, operating system, account usernames needed to complete the work, and a description of the issue
-
Payment details such as billing address and the last four digits of a card; our payment processor handles full card data directly, and we do not store full card numbers on our systems
-
Records of our communications with you, including phone notes, emails, SMS and on-site work notes
-
Website usage data such as IP address, browser type, pages visited, referral source and approximate location, collected through cookies and similar analytics tools
-
Feedback, reviews and survey responses you choose to provide
We do not intentionally collect sensitive information, as defined by the Privacy Act, while providing our services. If sensitive information is incidentally visible on a device we are servicing — for example, health records or legal documents — we will not copy, transmit or retain it, and will bring its presence to your attention where appropriate.
3. How we collect it
We collect personal information directly from you when you:
-
Call, email, or message us by SMS or instant messaging
-
Submit a form through our website, including booking, contact and quote forms
-
Engage one of our technicians for an on-site or remote appointment
-
Sign up to a managed-support package, subscription or newsletter
-
Visit our website, where cookies and analytics tools passively collect technical and usage information
We may also collect information from third parties with your consent or where authorised by law, such as an authorised representative booking on your behalf or a referral partner.
4. Why we collect it
We collect, hold, use and disclose personal information for purposes including:
-
Providing the IT support services you have requested
-
Identifying you and managing our customer relationship with you
-
Communicating about bookings, appointments, quotes, invoices and service updates
-
Responding to enquiries, complaints and support requests
-
Sending promotional and marketing communications about our services, where you have consented
-
Improving our website, services and internal operations, including analytics and quality assurance
-
Meeting legal and regulatory obligations, including tax, accounting and consumer-law requirements
5. If you do not provide it
Providing personal information is generally voluntary. However, if you do not provide information we reasonably need — such as your name, contact details or service address — we may be unable to schedule an appointment, issue an invoice, or provide the requested service.
6. Disclosure
We may disclose your personal information to:
-
Our staff and technicians, where needed to schedule, deliver and support your service
-
Trusted third-party service providers that help operate our business, such as payment processors, accounting software, booking and CRM platforms, email and SMS providers, cloud-hosting providers, analytics tools, and IT-support vendors used to provide managed services
-
Professional advisers, including lawyers, auditors and insurers, on a confidential basis
-
Government agencies and regulators where required or permitted by law
Some service providers may store or process data outside Australia, including in the United States or European Union. Where this occurs, we take reasonable steps to ensure overseas recipients are bound by confidentiality obligations consistent with the APPs.
We do not sell your personal information.
7. Direct marketing
We may use your name, phone number and email address to send promotional and marketing communications, including occasional offers, service updates, tips and new-service announcements, by email, SMS or phone. We rely on your consent, provided when you become a customer or give us your contact details, in accordance with the Spam Act 2003 (Cth).
Every marketing email includes an unsubscribe link, and marketing SMS messages include a “reply STOP” option. You may also opt out at any time by contacting us using the details below.
After you opt out, we may still send transactional messages relevant to your account, such as appointment confirmations, invoices and security advisories.
8. Cookies and analytics
Our website uses cookies, pixels and similar technologies to make the site work, remember your preferences, measure traffic and improve the user experience.
We may use services such as Google Analytics, Google Tag Manager and advertising platforms. You can control cookies through your browser settings and opt out of interest-based advertising through industry tools such as youronlinechoices.com.au.
9. Data security
We take reasonable steps to ensure the personal information we hold is accurate, complete and up to date, and to protect it from misuse, loss, unauthorised access, modification and disclosure. Our measures include access controls, encrypted transmission of sensitive data, secure payment processing, technician vetting and staff confidentiality obligations.
No method of transmission or storage is completely secure. If we become aware of a data breach likely to result in serious harm, we will respond in accordance with the Notifiable Data Breaches scheme under the Privacy Act.
10. Retention
We retain personal information for as long as necessary to provide services and meet legal, tax and accounting obligations. When it is no longer required, we will take reasonable steps to de-identify or destroy it.
11. Access and correction
You may request access to the personal information we hold about you and ask us to correct information you believe is inaccurate, incomplete or out of date. You can make a request using the contact details below.
We will respond within a reasonable period and may need to confirm your identity before releasing personal information. Privacy policies for APP entities should explain access and correction arrangements.
12. Complaints
If you believe we have breached the Privacy Act or the APPs in handling your personal information, please contact us first using the details below. We will acknowledge your complaint and aim to provide a substantive response within 30 days.
If you are not satisfied with our response, you may refer the matter to the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au or by calling 1300 363 992.
